ReviewPing / Setup guide

From download to first ping, step by step.

The honest version of "setup takes two minutes", with every click written out. You need a Mac on macOS 13 or later and a normal Jira Cloud account. Nothing here requires an admin.

Install the app

Open the downloaded ReviewPing.dmg and drag ReviewPing into your Applications folder, then launch it from there.

On first launch, macOS asks whether ReviewPing may send you notifications. Click Allow. This is the whole point of the app, so if you skipped it, turn it back on later under System Settings, Notifications, ReviewPing.

A small checklist icon appears at the right side of your menu bar. That is ReviewPing. Click it and choose Open Settings.

Create your Atlassian API token

The app reads your board with your own Jira access, through a personal API token. Think of it as a password that only works for the API and that you can revoke any time.

Go to id.atlassian.com, then Security, then Create API token. Or open this address directly: id.atlassian.com/manage-profile/security/api-tokens

Click Create API token, give it a name like ReviewPing, and copy the token right away. Atlassian shows it only once.

Tip: No admin rights are needed. Any normal Jira Cloud account can create its own token.

Connect ReviewPing to your Jira

In ReviewPing's Settings, fill the Jira connection section with three things.

Site URL: your Jira address, for example https://yourcompany.atlassian.net

Email: the email you sign in to Jira with.

API token: paste the token from the previous step. It goes straight into the macOS Keychain, never into a file.

Point it at your board and column

Board ID: open your board in the browser and look at the address. It ends with something like /boards/12. That number is your Board ID.

Status: the exact Jira status of the column you want to watch, for example To review or In Review.

Tip: The column header on the board is a label and can differ from the real status name. To be sure, open any ticket sitting in that column and copy the status shown on the ticket itself.

Narrow it to your team, if the board is shared

If several teams live on one board, click Load team filters from board and pick your team's quick filter from the dropdown. The same filtering your board applies in the browser now applies to your pings.

Prefer full control? Write your own JQL in the Team filter field, for example component = "Payments" or labels = my-team.

On a board that is only yours, skip this step entirely.

Test it and save

Click Test connection. Within a second you should see a green line like Connected, 3 in To review. That is the app counting the real cards in your column.

Pick a notification sound if you like, and press Send test notification to hear it and to confirm banners appear.

Click Save. From now on ReviewPing checks your board about once a minute, and the moment a card enters the column, your Mac pings you. Click the banner and the ticket opens.

Tip: Turn on Launch at login in Settings so the watcher is always up without you thinking about it.

If something looks off

Test connection says the token was rejected

The email and token pair is wrong, or the token was revoked. Create a fresh token at id.atlassian.com and paste it again. Also check the Site URL is your own atlassian.net address.

Connected, but the count is 0 and you expected more

Almost always the Status does not match exactly. Open a ticket that sits in the column and copy its status word for word, including capitalization.

No banners appear

Check System Settings, Notifications, ReviewPing is allowed. The app also shows a warning inside its own panel when notifications are off. And remember: cards already in the column when the app starts stay silent by design, only new arrivals ping.

You are on Jira Server or Data Center

Not supported. ReviewPing works with Jira Cloud, meaning sites hosted on atlassian.net.
